1. Introduction
KCW Smart ID Access (“we”, “our”, “us”) is a secure institutional mobile application developed for the staff members of PSGR Krishnammal College for Women and GRG Group of Institutions. The application facilitates digital identity verification, attendance tracking, and Digital Visiting Card (DVC) management for authorized employees through institutional authentication. We respect your privacy and are committed to protecting the personal data you provide.

2. Information We Collect
We collect and process only the information required for official institutional purposes.
a. Information You Provide
• Institutional email ID (for secure login using SSO authentication).
• Employee details (name, employee ID, department, designation, official contact number, and email) fetched from the official HR or ERP database.
• Photograph and professional details for creating and displaying the Digital Visiting Card (DVC).
b. Camera Access
The application requires camera access for:
• Scanning QR codes for ID verification (students or staff).
• Capturing official photos during DVC creation (optional).
Captured images are used only for official identity verification and DVC generation. These are not shared externally.
c. Attendance and Work Data
• Attendance records (in-time, out-time, total working hours) retrieved from the institutional eSSL biometric system.
• Shift timings and attendance summaries for reporting and analysis.
No personal browsing, location, or device metadata is collected.

3. How We Use the Information
The data is used solely for authorized institutional purposes, including:
• Managing and displaying digital identity (Smart ID & DVC).
• Verifying identity through QR code scanning.
• Displaying attendance details, late arrivals, and absentees.
• Generating summary reports for departments and individuals.
• Supporting HR and administrative operations.
We do not sell, rent, or share user data with third-party advertisers or any external entity.

4. Data Security
We apply institutional-grade security measures to protect your data:
• HTTPS encryption for all API communication.
• Role-based secure login using Firebase Authentication (SSO).
• Access limited to verified GRG/KCW institutional users only.
• Data hosted securely on GRG Trust servers — not stored or processed by third-party vendors.

5. Data Retention
Your data (attendance, DVC, and related information) is retained only as long as necessary for institutional administration or statutory reporting.
If you leave the institution or change departments, your access is automatically revoked.

6. Access Control
• Only authorized staff members with valid @grgeducation.com or @psgrkcw.ac.in email IDs can use this application.
• Students or external users cannot access or register within the app.
• Unauthorized access attempts are blocked automatically.

7. Third-Party Services
The app uses:
• Firebase Authentication — for secure Single Sign-On (SSO).
• Institutional APIs — for attendance, employee, and DVC data retrieval.
No third-party analytics or tracking tools are integrated.

8. Data Sharing
Data is shared internally only with authorized personnel such as:
• Human Resources Department
• Heads of Departments
• Administrative or Management Staff
This sharing occurs only for official institutional functions.

9. Camera & Image Usage Policy
• The app accesses the device’s camera only when explicitly triggered by the user (for scanning or capturing official images).
• The camera is never used in the background or without user consent.

10. Policy Updates
We may update this Privacy Policy to reflect enhancements or institutional policy changes.
Any updates will be published within the app and on the institutional website.
